D1 Hockey Recruit ("we," "us," or "the Service") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our recruiting platform. By using D1 Hockey Recruit, you consent to the data practices described in this policy.

2. Information We Collect

We collect the following categories of information:

Account Information

  • Name and email address (provided during account registration via OAuth)
  • Account role (player/family, coach, or administrator)

Player Profile Information

  • Player name, position, handedness, height, weight, and graduation year
  • Hometown, state, and contact information (phone number, email)
  • Season statistics, team/program affiliations, and game schedules
  • Profile photos and video highlight URLs (YouTube/Vimeo links)
  • Academic information (GPA, SAT/ACT scores, intended major)
  • Player biography and personal statement

Usage & Communication Data

  • Email outreach history (recipients, timestamps, subject lines, and message content)
  • Email open and click tracking data (when coaches open or click links in your emails)
  • Profile view analytics (which coaches viewed your public profile, including their name and school)
  • Favorited coaches and saved preferences

3. How We Use Your Information

We use the information we collect to:

  • Provide and maintain the Service, including player profile hosting and coach directory access
  • Send emails to NCAA coaches on your behalf through our SendGrid email integration
  • Track email engagement (opens and clicks) to provide you with outreach analytics
  • Display your public player profile to NCAA coaches who access it
  • Process subscription payments and manage billing through Stripe
  • Provide personalized recruiting timelines based on graduation year and gender
  • Improve and develop the Service based on usage patterns

4. Email Communications (SendGrid)

When you use our email outreach feature, emails are sent through SendGrid, a third-party email delivery service. Each email sent through our platform:

  • Is sent from our domain on your behalf to the selected NCAA coach(es)
  • Contains a tracking pixel to detect when the recipient opens the email
  • Includes click-tracking on links to measure engagement
  • Includes a CAN-SPAM compliant unsubscribe footer

Email rate limits (20 emails per day, 100 per month per user) are enforced to prevent abuse. If a coach reports an email as spam, their address is added to a blocked list and no further emails can be sent to that address from any user.

5. Payment Information (Stripe)

Subscription payments are processed by Stripe, Inc. When you subscribe:

  • Your payment card details are collected and stored exclusively by Stripe — we never see or store your full card number, CVV, or expiration date
  • We store only your Stripe Customer ID and Subscription ID to manage your account status
  • Stripe processes payments in accordance with PCI DSS Level 1 compliance standards

6. Coach Profile View Tracking

When an NCAA coach who is registered on our platform views a player's public profile, we record the coach's name and school affiliation. This information is displayed to the player/family in their dashboard's "Views" tab so they can see which coaches have shown interest. Coaches are informed that their viewing activity is tracked when they access player profiles.

7. Public Player Profiles

Player profiles created on D1 Hockey Recruit are publicly accessible via a unique URL (e.g., d1hockeyrecruit.com/player/your-name). This is by design — the purpose of the Service is to make your player information visible to NCAA coaches. Information displayed on public profiles includes: player name, photo, position, stats, teams, schedule, highlight videos, and contact information you choose to provide. You control what information appears on your public profile through your dashboard settings.

8. Cookies & Session Data

We use the following cookies and local storage:

  • Session cookie: A secure, HTTP-only cookie containing a JWT token to maintain your authenticated session
  • Theme preference: Stored in localStorage to remember your light/dark mode selection
  • Onboarding status: Stored in localStorage to track whether you've completed the new-user walkthrough

We do not use third-party advertising cookies or tracking pixels for marketing purposes.

9. Data Sharing & Third Parties

We share your information only with the following third-party services, solely for the purposes described:

10. Data Security

We implement reasonable technical and organizational measures to protect your information, including encrypted data transmission (HTTPS/TLS), secure session management with HTTP-only cookies, hashed authentication tokens, and access controls. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

11. Data Retention

We retain your account and profile data for as long as your account is active or as needed to provide the Service. Email outreach history and tracking data are retained for the duration of your account. If you wish to delete your account and associated data, please contact us through the Service's support channels. Upon account deletion, we will remove your personal data within 30 days, except where retention is required by law or for legitimate business purposes (such as fraud prevention or legal compliance).

12. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your personal data (subject to legal retention requirements)
  • Portability: Request your data in a structured, machine-readable format
  • Opt-out: Unsubscribe from marketing communications (note: transactional emails related to your account cannot be opted out of)

13. Children's Privacy

D1 Hockey Recruit is intended for use by families with student-athletes. Accounts are created by parents or guardians on behalf of minor children. We do not knowingly collect personal information directly from children under 13 without parental consent. If you believe a child under 13 has provided us with personal information without parental consent, please contact us immediately.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the Service or via email. The "Last updated" date at the top of this page indicates when the policy was last revised. Your continued use of the Service after changes are posted constitutes your acceptance of the updated policy.
